About this notice
Warplink Freight Sdn Bhd (Company No. 202301017845 (1518429-V)) is the data controller for personal data collected through this website, our quotation system, and the operational tools we use to coordinate freight movements. We comply with the Personal Data Protection Act 2010 (Act 709) of Malaysia and, where applicable, with equivalent overseas frameworks for international shipments.
What we collect
The personal data we process falls into three categories:
- Contact details — name, business email, phone number, and company name supplied when you request a quotation, sign a service agreement, or correspond with our team.
- Shipment data — consignor and consignee details, commodity description, value, and origin and destination addresses, supplied to enable freight movement and customs declarations.
- Technical data — IP address, browser fingerprint, page visit history, and cookie identifiers collected automatically when you use our website.
Why we collect it
We process personal data only for purposes that are necessary to operate our services or to comply with our legal obligations:
- To issue quotations and to deliver the freight, warehousing, and customs brokerage services you've booked.
- To meet Royal Malaysian Customs Department, Royal Malaysian Police, and other regulatory recordkeeping requirements.
- To process payments and to manage debt recovery where invoices remain unpaid.
- To improve our website and to monitor service performance through aggregated analytics.
- To respond to direct enquiries and, where you've opted in, to send periodic operational or industry updates.
Who we share it with
We share personal data only with parties that need it to deliver the service or to satisfy a legal requirement:
- Customs authorities at origin, transit, and destination, in support of declarations.
- Shipping lines, airlines, ground handlers, and overseas agents through which your cargo is routed.
- Our IT and accounting service providers, who are bound by confidentiality and processing agreements.
- Law enforcement and regulators, where compelled by valid legal process.
We do not sell personal data, and we do not share it with third parties for their own marketing purposes.
Retention
We retain shipping and customs records for seven years from the date of the relevant transaction, in line with Malaysian customs and tax recordkeeping requirements. General correspondence is retained for two years; analytics data is retained in aggregated form for twenty-four months.
Your rights
Under the PDPA you have the right to request a copy of the personal data we hold about you, to ask for inaccurate data to be corrected, and to withdraw consent where consent was the basis on which we processed your data. To exercise any of these rights, email [email protected] with the subject line "Data subject request." We respond within twenty-one calendar days.
Security
Personal data is held on encrypted systems hosted within Malaysia. Access is restricted to operations and finance staff who require it to perform their roles. We carry out an annual security review and a vulnerability scan of the public-facing site.
